One guest question, answered in your hotel’s words. What needs a person reaches the right colleague with the context intact.

Where it shows up during a stay.

The easiest way to understand what we build is to follow a guest through their stay. These are five ordinary moments, and what changes in each of them.

  1. Before arrivalA guest asks where to park.

They get the answer your hotel would give, without waiting for reception to reply.

  2. ArrivalThe lobby is busy and the phone rings.

Simple questions are answered on the call. Anything else is written down for the front desk.

  3. Check-inA guest already shared their details before arriving.

Check-in is quick, so there is time for a proper welcome.

  4. During the stayRoom 214 asks for two extra pillows.

Housekeeping sees the request and the room. Reception sees when it is done.

  5. After departureThe guest gets a thank-you and one question.

What they say goes to your team. Guests who enjoyed their stay can leave a review.

Six areas where a hotel can run smoother.

Those moments fall into six areas. Choose the one closest to your situation to see what we build for it, and what changes.

Pre-arrival communication

The days before arrival decide how prepared a guest feels, and how many questions reach your desk.

Messages before arrival with practical details, useful extras and room for questions.

What changes · Guests arrive knowing where to park and what to expect, and your desk gets fewer surprises.

Recognise your hotel in one of these?

The Intelligence Method

Understand first. Build with purpose.

  1. Discovery Call

Your property, guest journey and daily challenges show where a closer look creates value.

  2. Strategy Session

We map workflows and systems with the people who use them, then agree the priorities.

  3. Build & Configuration

The agreed solution takes shape around your brand, operation and responsibilities.

  4. Quality Assurance

Guest and team scenarios, including exceptions and handoffs, are tested before launch.

  5. Deployment

The solution goes live around the agreed systems and access, with the team prepared.

  6. Continuous Optimisation

We review how it works in practice and improve it as priorities and operations evolve.

A few things hotels usually want to know.

Will AI replace our front desk team?

No. It takes the repeated questions and routine follow-up off the desk, and anything that needs judgement or a personal touch goes to a colleague with the full context.

What if the AI gives a wrong answer?

It only answers from the information you have approved, and anything it is unsure about goes to your team. We review the conversations with you and adjust what needs adjusting.

Will it sound like our hotel?

Yes. Answers come from your own hotel information and follow your tone of voice, and you check them before anything goes live.

How do you handle guest data and GDPR?

Guest data is only used for the workflows we agree on, in line with GDPR. Before launch we agree together what is stored, where and for how long.

Can we work with our existing systems?

Yes. We start with the tools already in use and agree what can be connected, adapted or built around them.

Which languages can it handle?

The languages your guests use, including Dutch, French, English and German, on calls as well as in messages.

Can we start small?

Yes. Most hotels start with one workflow, such as calls during check-in or messages before arrival, and add more once it runs well.

Who builds and runs the technology?

Hautel designs the solution with your team, and our technology partner Videntra builds and runs it. You keep one point of contact for both.

Is this for one hotel or a hotel group?

Both. A project can serve one property or set a shared approach across several hotels, with room for local differences.

How is a project scoped and priced?

Scope follows the discovery and the work involved. You see the full structure before any work begins, including any usage costs.
